How to Manage Your Requests

If you have already made a request that you wish to change, you may do this through the portal.

  1. Login to the portal.
  2. On the main page, click the grey “View My Requests” button. You may also hover over the “Reservations” tab and select “View My Requests” from the drop-down list. 
  3. You will be taken to a page listing all of the space reservation requests you have made. By clicking the tabs at the top (“Name,” “Last Booking,” etc.) you can organize the order in which your requests are listed.

  4. To view or edit your space booking request, click the name (in blue text) of the booking that you wish to view or edit. You will be taken to a page, listing all of the booking details, including event name, type, and contact information. At the top of this page you will see tabs labeled “Reservation Details” and “Attachments.” 
  5. In the “Reservation Details” tab, you will be given a number of options through which to edit your event:
    1. By clicking the red trash can icon at the left of any listing, you may delete that individual booking.
    2. By clicking the pencil icon at the left of any listing, you may edit the date, time, room location, or room layout of that individual booking.
    3. By clicking on the green plus sign at the left of any listing, you may view and select from a list of available services for your booking, including IT assistance, taking note of catering, and additional setup/breakdown time.
  6. In the “Reservation Details” tab, you will also see a list of options at the right, in blue, that will give you other options through which to edit your booking.
    1. The “Edit Reservation” option will allow you to edit the name, type, and contact information of the event.
    2. The “Add Booking” option will enable you to book different rooms at different times (if needed) that will be associated with the same event. This can be used, for example, if an event will occur over the course of two days, or if the event will require another room for different groups/activities. All bookings will be associated with the same event. If you need to make a reservation for a different event, return to the main page and create a new request by selecting “Book a Space.”
    3. The “Cancel Bookings” option will enable you to cancel one or more individual bookings (if there are multiple) associated with the same event.
    4. The “Cancel All Bookings” option will allow you to cancel all of the bookings associated with a particular event. You will be asked to provide a reason for your cancellation. NOTE: Choosing “Cancel All Bookings” will NOT cancel all of the space requests that the user has made. It will only cancel all of the space bookings that are associated with the one particular event that the user is currently viewing. Separate events must be canceled individually.
    5. The “View Reservation Summary” option will allow you to view a succinct summary of all event details, including location, hosting department, contact information, event type, room, date, time, and room setup type.
    6. The “Add booking to personal calendar” option will allow you to automatically add the details of a booking to any desktop calendar program, such as Microsoft Outlook.

    7. The “Booking Tools” option will allow you to easily change the time or date of your booking by listing options permitting you to schedule something at an earlier or later date, or adjust the start or end times of the event, without having to create a new request.
